Which scanner is right for me?

Fujitsu 6130 High Speed Document ScannerOver the years we have customer who have purchased scanners and those units are just now being replaced by the end users or they are just not working with the current PC/MAC operating system.

How do you know what the right scanner is for you? By asking questions and looking at the past and the current needs we are able to determine the right scanner for your needs. These are just a few questions that we ask to determine the right scanner for your needs.

The most important thing to discover is what your current scanning needs are.

Most of the time we talk about the current scanner you have.

  • What did you like about that scanner?
  • What did you wish it had as your needs have changed over the years.
  • Do you scan the same types of documents compared to when you purchased the scanner
  • Is the current scanner fast enough for you
  • Do you have the need for a larger feeder capacity
  • Do you want to search for text on the document
  • Do you want to edit the text on the document
  • Do you have the need for 11X17 scanning
  • Will multiple people be using this scanner
  • What software are you currently scanning with?

We need to know in order to make sure the software supports the NEW scanners.

Keep in mind we know you probably liked the current scanner and usually have no problem going with the same manufacture all over again. With that said you may want to look at other manufactures just to make sure you are getting the best deal. Today the major scanner manufactures including Canon, Fujitsu, Panasonic and Kodak offer 90 day warranties, 1 year warranties and some even offer 3 year warranties.

The Progression of scanners over the years is hard to follow especially if you are not in the industry. At Scanner One, Inc. we have all of the scanners listed out to show discontinued scanners and then the scanner that replaced the discontinued scanner. In most cases we go back 3 generation of scanners and some cases 4 generations of past scanners.

An examples from Fujitsu would be the 4120/5120/6130/6130Z progression.

If someone purchased the Fujitsu Fi-4120 that scanner was 25 pages per minute. It was replaced by the Fi-5120 that was 25 pages per minute. The Fi-5120 was replaced by the Fujitsu Fi-6130 at 40 pages per minute and that unit was replaced by the Fi-6130Z again 40 pages per minute. Most people would say that is a huge progression over the years especially to go from 25 pages per minute to 40 pages per minute. The cost must have gone up dramatically. That was not the case, Fujitsu increased the speed of these scanners but did not raise the price of the scanners or the service for the scanner.

Canon is the same when it comes to upgrading the scanners. Take the 3060/3080/3080CII/4010/6010/M160.

If you purchased the Canon DR-3060 at 30 pages per minute you were using a state of the art scanner. That unit was replaced by the Canon DR-3080 at 40 pages per minute. Then it was replaced by the 3080CII for USB Connectivity. That unit was replaced by the 4010C again at 40 pages per minute. Then the DR-6010C was introduced at 60 Pages Per minute. Again pricing did not go up and the scanner speeds did. Canon once again followed up with a 60 page per minute scanner at a lower cost. This unit is now called the Canon DR-M160. Most people have a hard time believing you can get a 60 page per minute Duplex Color scanner for under $1,000 (a grand) but you can.

The motto Canon USA is boasting is “MORE for LESS”. I have to say it is working for them.

If you are looking for a replacement scanner and just are not sure what scanner to purchase. Give us a call. We have all of the scanners on our site and can show you the progression from your older discontinued scanner to the current model. We can even cross reference current scanner manufactures to make sure you get the best scanner for your needs.

Don’t forget to ask about our award winning scanner service for your next purchase.

Canon 11×17 Flatbed Scanner Low Cost Option

Canon 11 x 17 Flatbed Scanner optional add on unit

Canon 11 x 17 Flatbed scanner

For years we have been asked to provide a low cost Flatbed option for 11X17 scanning. This has been a problem for manufactures because Canon/Fujitsu/Kodak and Panasonic always wanted to bundle the 11 x 17 flatbed with a scanner that was 70 plus pages per minute. These scanners were large and bulky with a service cost that was priced to match the scanner purchase price. Some of these scanners would cost over $5,000 dollars. In some cases these scanners would cost as much as $8,000.00

Canon has the 11 x 17 Solution!

Canon has a solution for customers looking to scan on a flatbed 11X17 and keep the cost down. The introduction of the Flatbed Unit 201 allows users to pair the Flatbed Unit 201 to any of the following scanners via a USB connection.

In most cases you can purchase the M160 with the flatbed 201 Unit for 11X17 scanning for under $2,000.00

The upside is the Canon M160 is fast at 60 pages per minute and supports up to legal size documents through the feeder. This is great for the ever day scanning of business documents, documents not bound or loose letter documents. Not to mention in most cases the 11X17 Flatbed is always used to scan books, fragile documents, magazines, photos or drawings. Again this is a great 11X17 scanning solution for under $2,000.00

To find out more on the Canon Flatbed 201 11X17 attachment call Scanner One, Inc.

Don’t forget to ask about our award winning service.

Rent Document Scanners | High Speed Scanner Rental

Did you know Scanner One, Inc. rents document scanners?

We offer rental scanners from a month to over a year for Small to Large scanning projects. Scanner One, Inc. offers rental scanners for scanning projects in Colorado to include Denver and Colorado Springs. We are now offering rental scanners no matter your location in the United States.

Scanner One, Inc. rents Canon Scanners and Fujitsu Scanners.

Canon logo  Fujitsu Logo

We are asked all the time for short term scanner leases on high end document scanners. Customers are always looking to rent document scanners on a short term project basis that will provide high-end quality scans. Especially if the scanner is only used for a month to 3 months for a back file scan project. In most cases a scanner rental is a one-time project, allowing the customer to purchase a small desktop Canon scanner, Fujitsu scanner, Panasonic Scanner or Epson Scanner for day forward scanning of daily work.

Most companies are looking to scan Medical Files, Lease Documents, Financials, Contracts, HR Files, Invoices, Purchase Orders, service records and the list goes on and on. These are files that are stored in File Cabinets around the office or stored off site in banker boxes. The cost to retrieve the files is rising and the cost of office/storage space is on the rise. Hard Drive Space & Server Space and now CLOUD Storage is manageable and most companies are able to offset the traditional storage cost for the new electronic document storage option.  No more unorganized stacks of paper!

Software companies that Scanner One, Inc. has affiliations with:

  • Document Logistix
  • DocuWare
  • On-Base Highland Software
  • File Bound
  • LaserFiche
  • Fortis
  • Digitech Systems
  • Box One Cloud
  • Kofax Express
  • Abbyy

Other factors to rent a scanner; Moving your office, reduction in paper storage, loss of staff, organize your documents, legal, compliance, collaboration.

When it comes to renting scanners, Scanner One, Inc. has many options from the desktop 1,000 max pages per day to the high end document scanning of 60,000 + pages per day.

In the end, through questioning we determined the customer is not looking for a high end scanner short term lease.  They’re in need of a short term scanner rental.  Call Scanner One, Inc. to talk about your back file project and the rental scanner that would work best for your situation.

Discontinued & Used Scanners | Purchase New or Refurbished?

When to purchase a discontinued or used scanner and when it’s important to buy new!

We are asked all the time at Scanner One… do you have any used scanners?  Most of the time we only have one or two scanners in the used area.  So, when is a good time to purchase a used scanner.  In most cases it is a good time to purchase one when the unit has a low scan count.  Look at the total number of scans on the unit.  If the unit is rated for 1,000 to 2,000 pages per day and the unit only has 3,000 scans on it then this is a great buy.  Make sure the scanner is in working condition and it actually scans well enough to produce images which look good.

Now if you are looking at a scanner and it is one of those large high volume document scanners then you want to be a little more cautious.  These scanners can scan a couple of million scans in a year.  So if you find one that has 1 million scans on it you want to look at the following;

  • How old the scanner is
  • How long was it used during the scan project
  • Do you have a history of the scanner
  • Make sure it was under service during the project
  • Does the unit come with a warranty or can you purchase an extended warranty
  • Make sure if the unit has been discontinued by the manufacture they still make parts.  Nothing worse than buying a scanner and finding out parts are no longer available.

When you purchase a used scanner make sure to purchase the additional roller kit.  Most of the time a company will not replace the rollers because of the cost.  With used equipment most resellers want to keep the cost down so they can move the equipment fast. We generally only have used equipment for about a week.  The equipment moves fast and our customers call us on a regular bases asking what we have for inventory.  To help our customers with our inventory of used scanners we have a link now for Used/Demo equipment http://www.scannerone.com/deals.php

What is a good price for a used document scanner?
It depends on the scanner.  WE generally price our scanners around half of the price of a new scanner.  When purchasing small desktop scanners or “Small Office” used Document Scanners make sure you get a good price on the unit.  Today these scanners are considered disposable scanners.  So if you purchase a used scanner for $300.00 and it last you 18 months or longer then that is a great used document scanner.  If you purchase a used scanner for $300.00 and it last 3 months then that was a bad purchase.  In this case you may want to look at a new scanner that comes with a manufacture warranty.

Extended Warranty Options
Most companies will offer extended warranties for small office scanners.  These warranties usually run about $99.00 for the year.  The extended warranty could be a great way for you to protect your investment for as little as $.27 cents a day.  Again, keep in mind replacement roller kits are never included in the extended warranties.  You will need to purchase those as you need them.

To see our list of Used or Hot Demo Deals visit us on the web or by clicking the following link.
http://www.scannerone.com/deals.php

If you don’t see a scanner you are looking for give us a call.  We have thousands of customers and we may be able to find the scanner for you.

Hope this helps you in making the right decision when purchasing USED VS New.

Check out the new video just created by Scanner One.  The video demonstrates how to clean the rollers on a Canon CR-190i.

It’s important to keep the rollers and reading glass clean on your document scanner.  Allowing contaminants such as dust and ink to build up can cause scanned documents to have lines and be unreadable.  The video above shows a quick cleaning of the Canon CR-190i but I’ve also included the steps below.

Quick steps for cleaning the rollers on a Canon CR-190i scanner.  Please contact Scanner One if you need further assistance after reviewing the steps below and watching the video above.

  • Remove the top cover

  • Turn larger rollers with one hand while using the cloth in your other hand to clean
  • Turn larger rollers to rotate the smaller rollers while using the cloth in your other hand to clean
